Project Coordinator

At Care Systems Services, we are a local HVAC, DDC & Electrical contractor specializing in commercial, institutional, and light industrial construction. Although located in Vernon, we offer full-service building operation supports throughout British Columbia and Southern Alberta. Over the past 25 years, Care Systems has installed control systems in over 200 buildings, currently maintains over 240 mechanical systems and has won several Sales Achievement awards and Customer Satisfaction accolades. The Project Coordinator plays a key role within our organization. Reporting to the Project Manager, the Project Coordinator ensures seamless project operations by facilitating communication, maintaining project documentation, ordering, and tracking of materials, setting up hotels, timesheets, sending out progresses, and creating and tracking PO’s. You will work with the Project Manager to set employees’ schedules, monitor job cost reports, and the setup of jobs after contracts have been assigned to you. You are highly organized, detail-oriented with a high level of accuracy, and possess excellent multitasking and communication skills. This is a full-time (Monday to Friday, 8am to 4:30pm) position.

Responsibilities:

Provides support to the Project Manager, including but not limited to:

Project Planning and Coordination:

  • Assist in developing project plans, timelines, and milestones in collaboration with the Project Manager.
  • Assist project activities, ensuring tasks are assigned, deadlines are met, and resources are allocated efficiently.
  • Facilitate effective communication among project team members, stakeholders, and external partners.
  • Arrange and schedule project meetings, prepare meeting agendas, and document meeting minutes.

Documentation and Reporting:

  • Create and maintain comprehensive project documentation, including project plans, status reports, and project-related correspondence.
  • Track project progress, milestones, and deliverables, and provide regular updates to the Project Manager.
  • Compile and analyze project data, ensure accuracy, identifying trends, risks, and opportunities for improvement.
  • Prepare and distribute reports, presentations, and other project-related materials as needed.
  • Prepare and process timesheets for submission to payroll.

Resource and Procurement Management:

  • Assist in resource allocation, ensuring the availability of equipment, materials, and personnel to support project activities.
  • Collaborate with procurement and supply chain teams to procure necessary project materials and services.
  • Maintain inventory of project supplies, track usage, and initiate replenishment when necessary.
  • Support the implementation of quality control measures to ensure project deliverables meet established standards.
  • Support project activities to ensure compliance with applicable regulations, policies, and safety guidelines.
  • Identify and inform the Project Manager of any issues or deviations that may impact project quality or compliance.

As a Project Coordinator, you will play a crucial role in supporting project operations and ensuring their successful execution. Your strong organizational skills, attention to detail, and ability to coordinate multiple tasks will contribute to the overall efficiency and effectiveness of our projects.

Project Manager - Okanagan Division

We are currently recruiting for a seasoned Project Manager to join our dynamic team!

Reporting directly to the Operations Manager, the Project Manager provides cradle to grave on project execution. The candidate must be well organized, a team player and able to initiate, monitor, and deliver project plans with minimal supervision. The Project Manager is responsible for meeting the project goals in terms of budgets, timelines, customer communication and customer satisfaction. This is a full-time (Monday to Friday, 8am to 4:30pm) position. A strong attention to detail and high level of accuracy while working in a fast-paced environment are key in this role.

Responsibilities:

Provides support to the Operations Manager, including but not limited to:

  • Responsible for the direction, coordination, implementation, executive, control and completion of the project while remaining aligned with the strategy, commitments and goals of CSSL
  • Meet with contractors and owners to discuss scope of budgets, performance, and close-outs
  • Coordinate and schedule projects with customers, field techs, suppliers, and other team members
  • Identify all operation aspects of the job including labour, equipment, consumables and materials along with any sub-contractor requirements
  • Maintain project timelines and ensure timely completion of tasks
  • Track project expenses and maintain project budgets
  • Assist with the development of the Operating Plan
  • Maintain quality standards by supervising project-assigned staff and inspecting job sites
  • Work with Business Development (Sales) and estimating to transition the job from sales to operations
  • Delegate labour forces for projects
  • Handle client complaints/discrepancies by providing appropriate resolution
  • Assist management team regarding training, hiring, performance reviews and terminations of staff
  • Enforce safety regulations, work performance standards, rules and working conditions
  • Approve and submit timesheets on-time and with accuracy
  • Manage changes to project scope through a defined change management process
  • Responsible for identifying possible cost saving opportunities and/or risk items that will occur
  • Demonstrate the importance of an ‘on-time, on-scope, on-budget’ working environment
  • Purchasing: general inventory and materials, PO generation
  • Provide monthly reporting and attend site meetings as required
  • Support the Operations Manager as directed on day-to-day activities

Additional Skills and Tasks:

  • Adhere to schedules, prioritize workload, and maintain proactive management approach to troubleshooting and problem solving
  • Demonstrate effective leadership and provide direction in a manner that promotes collaboration and emphasizes the need for exceptional customer service
  • A solid working knowledge of all information required to execute tasks from estimate to close-out
  • Demonstrate high degree of ownership of all work conducted
  • Maintain high standards of quality and customer satisfaction

Requirements:

  • 1+ years of experience in project coordination or related field
  • Construction experience considered an asset
  • Project Management training and/or management experience
  • Strong attention to detail and excellent communication skills
  • Ability to multitask and work under tight deadlines
  • Proficiency in Microsoft Office and project management software
  • Understanding of building codes, contract law, and safety regulations
